Opportunity: Office Manager

The W.E.B. DuBois Learning Center is seeking an Office Manager to manage and oversee their growing organization. The Office Manager serves a critical front line role and provides support to all administrative functions, including the Director of Administration and reports directly to the Director of Operations.
Responsibilities include, but are not limited to:

  • Perform administrative and office support activities, including but not limited to making and receiving telephone calls, receiving and directing visitors, managing daily mail and recording and filing legal documents, managing calendar, bills, receipts and other data entry and paperwork.
  • Provide outstanding customer service to community and constituents.
  • Understand social media platforms with the ability to generate and share relevant content
  • Familiar with general payroll acumen with the ability to support Accounting, A/P and A/R
  • Create, maintain and manage comprehensive reports in excel and reporting software
  • Coordinate the details and logistics of events, business meetings and other events
  • Order, manage and maintain office supplies & equipment
  • Manage and provide oversight of facility use agreements and process.
  • Facilitate and schedule annual building inspections, permits and maintenance.
  • Support fund development efforts including identification, writing and calendar management.
  • Responsible for managing vendor relationships and purchasing approved items.
  • May be asked to attend community meetings and/or events as needed.
  • To be successful, candidate must be competent in these areas:

  • Office Administration – Ability to prioritize and organize the overall office function, providing leadership to volunteers in the areas of phone, mail, filing, reporting and purchasing.
  • Customer Service – Ability to demonstrate and create an environment that helps to foster customer service excellence in service and service delivery.
  • Communication: Strong verbal and written communication skills required; is able to clearly communicate and provide direction and oversight to others.
  • Task Management: Appropriately delegates tasks; ensures priorities and deadlines are met; plans and schedules task well in advance for completion.
  • Decision Making/Judgment: Ability to make good business decisions and judgement calls based on information available. Appropriately requests guidance and additional information as needed. Effectively communicates and champions decisions being implemented.
  • Fund Development: Ability to identify, research, write and manage operational and special needs grants.
  • Other Requirements:

  • Bachelor’s Degree or 3-5 years of relevant experience

  • Salary Range: $32,000 – 35,000 per year
    Hours: Monday – Friday 10:00 a.m. – 6:00 p.m., flex schedule required to work a minimum of 2 Saturdays each month from 8:30 a.m. – 2:00 p.m.

    Opportunity: Director of Operations

    The W.E.B. DuBois Learning Center is seeking a Director of Operations who is responsible for the overall management of day-to-day programming, service outcomes and building operations. Reporting to the Executive Director, the Director of Operations will provide oversight and support to the Office Manager and Departmental Directors. The successful candidate will have strong people and project management skills and a record of successfully working within teams to achieve organizational goals. The Director is responsible for implementing business strategies and promoting initiatives that support the long-term academic success of the programs, sustainability of the site and fostering strategic relationships that align with community and organizational goals.
    Responsibilities include, but are not limited to:

  • In partnership with departmental Directors ensure each core area is delivering on the promise of academic success; data collection and general service outcomes.
  • Meet as needed with Directors regarding volunteer management, accountability and address any performance management of staff or volunteer.
  • Oversee the development and adherence of the annual budget and process.
  • Oversee development of communications and strategies and ensure clear and consistent messaging across platforms.
  • Create and oversee neighborhood engagement strategy.
  • Identify, write and manage grants that support operational and organizational needs. May play lead role in organizing and facilitating special events with demonstrated ability to secure financial & strategic commitments to organization.
  • Provide leadership and guidance on special events including Kwanzaa, MLK Day of Service, Opening and Closing Ceremony, Outreach Activities and other site-wide designated events.
  • Ensure all building requirements, permits, reviews and safety and security requirements are in place.
  • Provide oversight and management of facility usage and partnerships.
  • Manage, review and approve new program or service development for consideration.
  • Build and maintain appropriate relationships with staff, volunteers, parents, community and strategic partners.
  • To be successful, candidate must be competent in these areas:

  • Communication: Ability to create and deliver convincing and well-organized presentations; facilitates effectively to move initiatives forward; uses brand to convey mission and goals; coaches others. Strong verbal and written skills are required.
  • Leadership: Successfully leads diverse teams of individuals to achieve results; sets vision and appropriately delegates tasks; holds staff accountable toward performance goals.
  • Budget Management: Ability to forecast, develop, manage and ensure required reporting is done on schedule; make budgetary analysis and recommendations
  • Decision Making/Judgment: Understands and manages organizational decision-making, including integration across departments; effectively communicates, manages, owns, and champions decisions being implemented.
  • Strategic Thinking and Planning: Develops and translates strategies into objectives, action plans, and measurements that build the capacity of the site/department.
  • Fund & Community Development: Takes initiative in establishing new partnerships and external opportunities; ability to secure financial & strategic commitments to organization.
  • Qualifications

  • BA/BS and 3-5 years relevant work experience.
  • Exceptional Customer Service Mindset and Skills
  • Previous Management, Project Management Experience
  • Proficient on Microsoft - Excel, Word, Powerpoint

  • Ability to work in a fast paced and diverse environment.
  • Salary: $40,000 - $45,000 per year
    Hours: Monday – Friday 10:00 a.m. – 6:00 p.m., flex schedule required to work a minimum of 2 Saturdays each month from 8:30 a.m. – 2:00 p.m.
